At Lynne Chapman Reproductive Health (LCRH) Ltd, we are committed to providing compassionate, professional, and high-quality fertility care. These Terms of Business are designed to ensure clarity, mutual respect, and smooth communication between patients and our clinical and administrative teams.
By engaging with our services, you agree to comply with these Terms of Business.
1. Treatment and Procedures
Dr Lynne Chapman is actively involved in the management and treatment of all LCRH patients. However, her physical availability may be affected by holidays, illness, or other professional commitments.
To ensure continuity of care, Dr Chapman works closely with her experienced clinical and administrative team. At times, she may rely on the team of consultants, embryologists, and nursing staff at our partner clinics to carry out certain elements of treatment such as egg collections, embryo transfers, or laboratory procedures.
Patients can be reassured that this collaborative structure ensures continuity of care, safety, and comprehensive contingency arrangements while maintaining a bespoke, patient-focused approach.
2. Regulatory Framework and Licensed Services
Fertility treatment in the UK is tightly regulated by the Human Fertilisation and Embryology Authority (HFEA). Only clinics holding an HFEA licence can legally provide certain treatments and services, including the storage and use of gametes (eggs and sperm) and embryos.
For these licensed services, LCRH operates as a satellite clinic of the licensed fertility clinic at which the procedures are performed. Currently, LCRH collaborates with Aria Fertility and The Lister Fertility Clinic for HFEA-licensed treatments.
3. Consent and Documentation
Fertility treatment requires completion of various HFEA-mandated consent forms, proof of identification, and relevant questionnaires. These may be digital or paper based.
It is essential that all forms are correctly and fully completed in a timely manner. Failure to do so may result in treatment delays or, in extreme cases, cancellation — at the patient’s cost. Please read all consent documentation carefully and contact our administrative or clinical team if clarification is needed.
4. Respect and Courtesy
We are committed to maintaining a respectful, inclusive, and professional environment for both patients and staff. We expect all patients, partners, and visitors to treat LCRH staff and other patients with courtesy and respect. Abusive, threatening, or disrespectful behaviour — verbal, written, or otherwise — will not be tolerated. LCRH reserves the right to discontinue treatment immediately in such instances.
5. Confidentiality
LCRH is bound by professional and legal obligations of confidentiality. We protect all personal and medical information in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Patients are also expected to respect the privacy of others. Please refrain from discussing or sharing any information about other patients, whether within clinic premises or externally.
6. Appointment Timeliness
Please arrive punctually for your appointments to help us maintain an efficient schedule. If you anticipate being late or need to reschedule, please inform us at admin@lcrh.co.uk as soon as possible. While we do our utmost to run on time, occasional delays can occur when additional time is needed for a patient’s care. We appreciate your understanding and patience should this happen.
7. Compliance with Clinical Instructions
Please follow all medical and clinical instructions carefully, including medication schedules, dietary advice, and treatment-specific guidance. Compliance is essential for your safety and optimal outcomes. We encourage you to ask questions and seek clarification whenever needed — your understanding and comfort are central to your care. Please note that test results will only be released after review and validation by one of our clinical team members to ensure accuracy and appropriate interpretation.
8. Communication and Updates
LCRH routinely records telephone, virtual and in person calls and consultations. The content of these communications is then routinely summarised using secure AI tools that comply with UK GDPR laws. This process is important to maintain clarity and accuracy and is to the benefit of both LCRH and our patients. Please let the team know if you would expressly prefer to not have these recordings made.
We encourage open and honest communication. Please promptly inform us of any changes in your medical history, contact details, or circumstances that may affect your treatment. Clear communication enables us to deliver the safest and most effective care possible.
9. Financial Responsibility
You are responsible for ensuring that all invoices are paid by the due date specified. Treatment payments (IVF/ICSI, FET, or IUI) must be made in full by the date of the first monitoring scan. Test results and medications will not be released until payment is received in full. If you have questions about payments, please contact finance@lcrh.co.uk.
LCRH does not submit claims directly to insurance providers. However, we can provide itemised receipts and reasonable documentation to support your reimbursement claims. We cannot guarantee the outcome of any claim or insurer approval.
10. Ongoing Storage Costs
An initial period of storage for eggs, sperm, or embryos may be included in your treatment package — this will be clearly specified on your invoice. Subsequent storage fees are billed directly by the HFEA-licensed laboratory where the material is stored (not by LCRH). Each facility reserves the right to amend its storage pricing in the future.
Patients may choose to transfer their stored material to another licensed facility at any time, subject to regulatory requirements.
11. Compliance with Policies and Regulations
Please comply with all clinic and partner-clinic policies, which may include:
Visitor restrictions
Mobile phone and photography policies
Infection control procedures
Health and safety requirements
These policies are in place to protect patient privacy, maintain professionalism, and ensure a safe clinical environment.
12. Data Protection and Patient Rights
You must ensure that your contact information and personal details are accurate and kept up to date.
If LCRH or our partner clinic cannot reach you due to outdated contact details, this may — in extreme cases — result in the lawful disposal of stored gametes or embryos when storage periods expire under HFEA regulations.
Under UK data protection law, patients have the right to:
Access and receive a copy of their personal information;
Request correction of inaccurate data;
Request deletion of certain information (where legally permissible);
Request restrictions or object to processing of their personal data.

13. Limitation of Liability
While every effort is made to provide the highest standard of care, LCRH Ltd cannot be held liable for:
Delays or changes beyond our control (e.g. unforeseen medical circumstances or partner clinic scheduling);
Losses resulting from incomplete or inaccurate information provided by patients; or
Third-party actions or omissions outside LCRH’s direct control.
Nothing in these Terms excludes liability for death or personal injury caused by negligence or for any other liability that cannot lawfully be excluded under English law.
14. Amendments to These Terms
LCRH Ltd reserves the right to update these Terms of Business periodically to reflect changes in regulations, partnerships, or operational policies. Any updates will be published on our website with the effective date clearly shown.
15. Governing Law
These Terms of Business and any disputes arising from them shall be governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
